Abstract Submission FAQs

What is the deadline for abstract submissions?
The deadline for abstract submissions is 11:59 PM (ET) on June 12, 2018.

How can I submit my abstract?
Abstracts can ONLY be submitted online using the abstract submitter. 

How many abstracts can I submit as first author?
Individuals may serve as first author for multiple abstracts. For more information, visit the Abstract Submission Guidelines page.  

What is the maximum length for the title of my abstract?
There is no maximum length for the title. However, the characters in the title will count toward your total character count.

How many characters can be included in my abstract?
The total character count for a single abstract is 2,000. Characters include everything in the title, abstract body, and table but do not include spaces. Author names and institutions also are not included in the total.

Do I have to enter my abstract in a specific format?
Yes. The abstract body text contains headings that have already been formatted for you. The headings—Background, Methods, Results, and Conclusions—will count towards the 2,000-character limit. 

May I include a table with my abstract?
Yes, one table may be included in the abstract. All characters in the table count toward the total character count. No figures, pictures, or images may be included.

How many authors can be included on my abstract?
The maximum number of authors is 20. One authoring group may also be included along with the individual author names. The group name will appear as the last author of the author string.

May I submit an abstract if I am not an ASCO member?
Yes, you may submit abstracts to the ASCO Quality Care Symposium even if you are not an ASCO member.

Can I revise my abstract after it has been submitted?
Yes, you may edit your abstract on the submission website until the deadline of 11:59 PM (ET) on June 12, 2018.

Is there an abstract submission fee?
There is a $60 nonrefundable fee for submitting an abstract. Payment must be made by credit card. Visa, MasterCard, and American Express are accepted. Purchase orders, wire transfers, and checks will not be accepted. The abstract submission fee does not include registration for the ASCO Quality Care Symposium; therefore, all authors planning to attend the Symposium must register for it separately.

If I would like to withdraw my abstract what should I do?
If the first author wishes to withdraw his or her abstract from the ASCO Quality Care Symposium program, a request must be submitted to ASCO Quality Care Symposium staff by August 20, 2018. Any abstract withdrawal requests after this date will be considered on a case-by-case basis and cannot be assured removal from the 2018 ASCO Quality Care Symposium Proceedings.

When and how will I receive notification about the status of my abstract in the program?
Notification regarding acceptance or rejection of abstracts will be sent by email to the first author in late July 2018. The decision of the ASCO Quality Care Symposium Program Committee and ASCO Leadership regarding acceptance and presentation of abstracts is final.

I am experiencing technical difficulty with the submitter. Whom should I contact?

What abstracts are eligible for receiving ABIM Maintenance of Certification (MOC) points?
Abstracts must be based on quality improvement (QI) activities that clearly follow the PDSA cycle, and include baseline and follow up data post intervention for a minimum of 25 patients.  

What is the process to apply for MOC points?
First authors should indicate during the abstract submission process whether this abstract should be considered for the receipt of ABIM MOC points.  Those abstracts that are identified as having interest in receiving MOC points will be reviewed by Symposium leadership to confirm that all requirements for a QI project have been met.  In addition, abstracts must also be accepted for oral, poster discussion, or poster presentation.

Can I also recieve CME or CNE for an eligible abstract?
Yes, if your abstract is accepted for ABIM MOC points, it will also be awarded 20 CME or CNE credits.

How many ABIM MOC points and CME/CNE credits can I get for an abstract?
20 ABIM MOC points and 20 CME or CNE credits will be awarded for an abstract.

How will I receive my 20 ABIM MOC points and CME or CNE credits practice assessment points?
At the time of abstract notification, the first author of eligible abstracts will receive information on how to submit to ASCO for ABIM points and CNE/CME credit. The first author is responsible for sharing this with coauthors who wish to apply for points/credit. 

What is required for the Course Activity Evaluation?

  • ABIM Diplomate Number
  • ASCO Quality Care Symposium Abstract Number (Can be found in your abstract notification)
  • First and last name (As reflected in the Diplomate record)
  • Date of birth (Month/Day)
  • Date of submission
  • Completion of the evaluation form which requires attestation of meaningful participation in a practice assessment/quality improvement activity hosted on ASCO University. 

Once I receive an acceptance notification for my abstract, how do I request ABIM MOC points?
As a verified first author of an eligible abstract, you will receive a link to submit an Evaluation form which requires attestation of meaningful participation in a practice assessment/quality improvement activity to receive the ABIM MOC points. The first author is responsible for sharing this with coauthors who wish to apply for credit. Submission of the Evaluation form, hosted on ASCO University, must occur by March 15, 2019. Submissions after that date (March 15, 2019) will not be accepted. When filling out the Evaluation form, hosted on ASCO University, attendees wishing to receive ABIM MOC points will be prompted to enter their first and last name (as reflected in the Diplomate record), Abstract number, ABIM Diplomate number, date of birth, and attestation of meaningful participation in a practice assessment. Complete and accurate information must be submitted to received ABIM MOC points. ASCO will then submit the information to the ABIM on their behalf.

Do I have to submit an Evaluation form for each accepted MOC approved abstract?
Yes, if you have more than one eligible abstract approved for MOC than you must submit an Evaluation form for each abstract.

What is the deadline for ABIM MOC credit submission for eligible abstracts?
Submission of eVerification of Meaningful Participation Form must occur by March 15, 2019.
